| Facilitated Sessions PI-21 offers a wide variety of facilitated sessions by our trained facilitators. We strive to keep our facilitated sessions no more than four hours long to maximize the effectiveness and keep the participants engaged. Below is a partial list of the type of facilitated sessions we provide. Effective MentoringThis four-hour session, facilitated by trained mentors, takes a hands-on approach to making your staff members more effective mentors to new employees or to existing employees who need to know how to use some capabilities of a technical system. In this session, our mentor coaches take the long-accepted practice of mentoring employees from “hit or miss” to an effective, documented training approach. It will help to ensure that your mentors have the tools to be ready to do a good job in bringing their charges up to speed. In the session, we will use a practical mentoring approach – including practical session in building a mentoring plan and practice in implementing the plan. We will provide some real world examples of mentoring plans and supplemental document outlines, and will provide an example of a Mentoring Training Record. Process DefinitionPI-21’s consultants conduct facilitated sessions to help to quickly define high level process definitions of processes either currently in place within the organization or processes that need to be defined for implementation within the organization. These facilitated sessions will cover process documentation tools, development of appropriate templates, and proper organization and storage of process assets. These sessions may be conducted using the KJ (Jiro Kawakita) analysis method to quickly come to consensus on the process definition and other questions. The session may also cover the steps needed to finalize the process definition documentation, and appropriate review processes for the developed documentation. These sessions vary in length depending upon the level of experience of the team members. Root Cause Analysis (RCA)Although Causal Analysis and Resolution is a high-maturity process area, it makes sense to start analyzing the cause of problems early. As always, the best way to avoid problems is to understand and correct the cause. Our consultants can schedule a facilitated session to work through critical specific problems and/or to educate your staff on the value and techniques of RCA. These sessions will vary in length depending on the scope of the coverage of the topic. RCA is a natural adjunct to most other processes. A natural response to anything that goes wrong should be, “What is the real problem here, and how can we correct the cause to keep this from happening in the future?” To be effective, RCA must be performed systematically, with conclusions and causes backed up by documented evidence. This session will provide tools to help you to do this. Team buildingTeam Building sessions may be included as needed to help to get your process improvement team moving efficiently and effectively. They vary in length from 1 to 4 hours. In our experience we have found that the most effective process improvement solutions are found when different parts of the organization are included in the team, and that the teams are much more effective when all members participate fully. Our consultants’ experience in using proven team-building tools, such as the Myers-Briggs Type Indicator and a variety of problem solving exercises, can: o help to facilitate communication among the diverse players in your team o bring out the best in each team member—even the quiet ones o ensure that conclusions are not “jumped to,” and o make the time the team spends together rewarding and fun! Most team-building techniques can be implemented as a part of the scheduled process improvement group meetings and/or in organization-sponsored lunches Metrics DefinitionIn this session, our consultants will work with clients to identify effective measures to be collected based on the established business goals and objectives. We help define a balanced mix of leading, lagging, and task oriented indicators to forecast the achievement of goals and objectives, to clearly articulate the health of projects and programs and provide management with the information they need to be more proactive is all aspects of the organization. During these sessions, we help identify measures which are cost effective to collect, store, and analyze. The results of these sessions articulate, at least at a high level, measurement sources, collection, storage, and analysis procedures. This provides metrics which effectively assess efficiency, performance, progress, or quality of projects, processes, and products. Identifying SMART Business ObjectivesIn this facilitated session, our expert consultants work with the management team to set goals and objectives for the organization which are Specific, Measurable, Actionable, Realistic, and Timebound (SMART). This sets the stage for identifying measures that make sense for the organization rather than just measuring for the sake of measuring or because some model of best practices says you have to measure something. |
